[TFE #09] Time Blocking vs Task Batching
The internet’s better side, in your inbox from a mindful voice that writes like she talks.
I am late again this week, I know, and I am sorry 😩
If you constantly feel like your to-do list is laughing at you, you’re not alone. Mine had been mocking me for the past two weeks till I tried to get a solution.
Picture this: you sit down to work, get sucked into 7 things at once, and end the day wondering where your time went. In most cases, you don’t even get to finish all 7.
Let’s fix that with a simple productivity showdown I had been aware of, but recently discovered a hack to make both work for me: Time Blocking vs. Task Batching.
So, What’s the Difference?
🕒 Time Blocking
This method involves assigning specific blocks of time to specific tasks. Think:
10am–12pm = “Deep Work,”
2pm–3pm = “Emails,”
4pm–5pm = “Content Planning.”
Pros:
✅ It helps with prioritization
✅ It’s excellent for deep work
✅ It reduces decision fatigue
Cons:
⚠️ It can feel rigid if unexpected tasks pop up
🔁 Task Batching
Instead of scheduling time blocks, you group similar tasks and do them all at once.
For example: Replying to emails, creating social media graphics, or filming content back-to-back.
Pros:
✅ Maximizes momentum on similar tasks
✅ Saves brainpower (less context switching)
✅ Flexible and easy to implement
Cons:
⚠️ Can spiral into procrastination if not scheduled
So... Which One Should You Use?
Use Time Blocking when:
You have big tasks that need full focus
You want to own your calendar and eliminate distractions
Your day tends to “happen to you” unless you plan it
Use Task Batching when:
You’re juggling multiple roles
You want to streamline repetitive tasks
You get drained from switching contexts often
Pro tip: You can combine both for a more effective approach. Time-block your day and batch tasks within those blocks.

When it comes to building structure into your day, Google Calendar is a classic for a reason. Simple, intuitive, and incredibly effective, it turns your scattered to-do list into a clear, visual roadmap.
